1. Information We Collect

MindBody Expo is produced by Tampu Project Inc, a volunteer-run 501(c)(3) nonprofit organization (EIN 83-0652232). We collect only the information we need to run our events and communicate with our community.

Information you provide directly

When you interact with us, you may voluntarily share:

• Name and contact details (email address, phone number) when you apply as a vendor, sign up as a volunteer, subscribe to expo updates, or reach out through our contact form.
• Business or organizational information when you submit a vendor or sponsor application, such as your business name, website, product category, and booth preferences.
• Messages and correspondence when you email us directly or communicate through our website forms.

You are never required to provide personal information to attend the expo. Admission is free and open to all, and you can browse our website as a visitor without telling us who you are.

Information collected automatically

Like most websites, our server logs basic, non-identifying technical data when you visit:

• IP address (temporary, recorded in standard server access logs)
• Browser type and operating system
• Pages visited and time spent on each page
• Referring website, if you arrived via a link from another site

This information is aggregated and anonymous. We review it only to understand how many people visit the site, which pages are most helpful, and whether our event outreach is reaching the community. We do not use advertising trackers, cross-site tracking, or behavioral profiling of any kind.

MindBody Expo does not collect sensitive personal data (health information, financial account numbers, government identification, or precise geolocation) through this website.

2. How We Use Information

We use the information we collect for the following purposes, and only for these purposes:

• Responding to you. When you send us a message, we use your contact information to reply, answer your question, or follow up on your vendor or volunteer application.
• Processing vendor and volunteer applications. We use the information you provide on application forms to evaluate and coordinate booth spaces, volunteer shifts, and event-day logistics.
• Sending expo updates. If you subscribe to our email list, we send occasional messages about upcoming expos, vendor application windows, volunteer opportunities, and event schedules. You can unsubscribe at any time, and every email includes a clear opt-out link.
• Improving the website and the expo. We review aggregated, anonymous site traffic patterns to understand which pages and programs people care about most, so we can make the site more useful and plan better events.

We never sell, rent, trade, or lease your personal information to any third party. We do not use your data for advertising, profiling, or automated decision-making. Our organization is funded through donations and community support, not through monetizing the people we serve.

3. Information Sharing

We share your information only in the limited circumstances described below.

Service providers

We work with a small number of trusted third-party services that help us operate:

• Website hosting provider, which stores the website files and server logs on our behalf.
• Email delivery service, which sends expo update emails to our subscriber list. When you join our mailing list, your email address is stored with this provider for the sole purpose of delivering the messages you requested.

These providers are contractually obligated to handle your data only as instructed by us, to keep it confidential, and not to use it for their own purposes.

Legal obligations

We may disclose information if required to do so by law, court order, or valid legal process, or if we believe in good faith that disclosure is necessary to protect the rights, property, or safety of Tampu Project Inc, expo attendees, volunteers, or the public.

Organizational changes

In the unlikely event that Tampu Project Inc merges with or transfers its programs to another nonprofit, your information would be transferred as part of those organizational assets. You would be notified before any such transfer, and the successor organization would be bound by this policy or a substantially similar one.

Beyond these cases, we do not share your information with anyone. We do not sell data to data brokers, participate in ad networks, or share contact lists with other organizations.

4. Cookies

Our use of cookies is minimal and functional. We do not use advertising cookies, tracking cookies, or third-party analytics cookies.

What we use

• Session cookies for form submissions. When you fill out a vendor application, volunteer sign-up, or contact form, the site may set a temporary session cookie so the form functions correctly. These cookies expire when you close your browser and contain no personal information.

What we do not use

• No advertising or retargeting cookies. We do not run ads, and we do not place cookies that track you across other websites.
• No analytics tracking cookies. We do not use Google Analytics, Meta Pixel, Hotjar, or similar tracking services that set persistent cookies in your browser.

Your choices

You can configure your browser to reject all cookies, block third-party cookies, or alert you when a cookie is being set. Most browsers include these controls under Settings or Preferences. Disabling cookies will not affect your ability to browse this website, view event information, or attend the expo.

5. Third-Party Services

A few external services touch your experience on this website. Each has its own privacy practices, which we encourage you to review.

Google Fonts

This website loads fonts from Google Fonts, a content delivery network (CDN). When your browser requests a font file, Google may receive your IP address and technical information about your browser. Google's privacy policy explains how it handles this data. We use Google Fonts because the alternative (hosting font files ourselves) would increase load times, but if you prefer not to connect to Google servers, you can block requests to fonts.googleapis.com via a browser extension or your hosts file. The site will still display using system fonts.

Email newsletter

Our expo update emails are sent through a third-party email delivery provider. When you subscribe, your email address and subscription preferences are stored on their platform. We use this provider solely to send the messages you have asked to receive. Their privacy and security practices are outlined in their own privacy policy, and we have chosen a provider whose terms align with our commitment not to sell or exploit subscriber data.

Social media links

Our website includes links to our Facebook and Instagram pages. These are simple hyperlinks, not embedded social plugins or tracking widgets. Clicking a social media link takes you to that platform, where the platform's own privacy policy applies to any data collected during your visit. We do not receive identifying information about you from these platforms unless you interact with us publicly (for example, by commenting on an expo post).

External links

We occasionally link to partner organizations, venue websites, and community resources. When you follow a link to an external site, that site's privacy policy governs any information you share there. We are not responsible for the content or privacy practices of third-party websites.

6. Data Security

We take reasonable and appropriate administrative, technical, and organizational measures to protect the personal information we hold against accidental loss, unauthorized access, alteration, or disclosure.

These measures include:

• Keeping website software and server environments up to date with security patches.
• Using encrypted connections (HTTPS) for all pages on this website.
• Limiting access to personal information to the small number of volunteers who need it to process vendor applications, coordinate volunteers, or manage subscriber emails.
• Storing email subscriber lists on password-protected platforms with access restricted to authorized account holders.

No electronic transmission or storage is 100% secure. While we work hard to protect your information, we cannot guarantee absolute security. If you believe your data has been compromised through an interaction with MindBody Expo, please contact us immediately (see Section 9).

We retain personal information only for as long as it is needed to fulfill the purpose for which it was collected, or as required by applicable law. Vendor and volunteer applications from past expo seasons are archived or deleted after a reasonable period. Email subscribers remain on our list until they unsubscribe or the list is periodically cleaned of inactive addresses.

7. Children's Privacy

MindBody Expo welcomes families, and children are a cherished part of our community. Our events include dedicated kids learning zones and family-friendly activities.

However, we do not knowingly collect personal information from children under the age of 13 through this website or any of our online forms. If a child under 13 wishes to participate as a vendor or volunteer, a parent or legal guardian must submit the application on their behalf using the guardian's own contact information.

If we become aware that we have inadvertently collected personal data from a child under 13 without verified parental consent, we will delete it promptly. If you believe a child under 13 has submitted personal information to us, please contact us at [email protected] so we can take immediate action.

8. Your Rights

You have the right to know what personal information we hold about you and to control how it is used.

Access, correction, and deletion

At any time, you may request:

• Access to the personal information we hold about you.
• Correction of inaccurate or incomplete information.
• Deletion of your personal information from our records.

Opting out of communications

You can unsubscribe from expo update emails at any time by clicking the unsubscribe link found at the bottom of every message. You can also email us directly with a request to be removed from all communications.

How to exercise your rights

To make a data request, send an email to [email protected] with the subject line "Data Request" and a description of what you need. Please include enough detail for us to locate your information (for example, the email address you used when you signed up or applied).

We will respond to your request within 30 days. We may ask you to verify your identity before fulfilling certain requests, to ensure we are not disclosing information to the wrong person. There is no charge for making a data request.

MindBody Expo does not discriminate against anyone who exercises their privacy rights. Your participation in our events and programs will never be affected by a data request you make.
